How we handle your information
What we collect, why we collect it, who else sees it, and when it is deleted.
Who we are

What we collect
If you send an enquiry: your name, and whichever of your email address and phone number you give us, the visa type you ask about, and what you write in the message.
If you become a client: the above, plus the details needed to act on a visa application — passport number, date of birth, address, nationality, and the documents you upload. Passport number, date of birth and address are encrypted where they are stored.
We also keep records of the work itself: case status and history, appointments, messages exchanged with you, and payments (amount, method, reference and date, plus any receipt you upload).
If you give us an emergency contact, that is another person’s name and phone number. We hold it only for as long as we hold your own details, and it is removed at the same time.
Why we collect it
To provide the visa-related services you ask us for. In practice that means:
- creating the visa and application accounts the process requires,
- completing and filing the DS-160,
- booking visa appointments,
- managing your case through to its outcome,
- communicating with you about those services.
We do not sell your information, and we do not use it for advertising.
Who else receives it
We use other companies to run the service. Each receives only what its job needs:
- Google — our assistant feature drafts messages about your case, and the text it works on is sent to Google’s model service to do that.
- Resend (delivering through Amazon SES) — sends our email to you, such as sign-in codes and case notifications.
- Razorpay — processes online payments.
- Vercel — hosts the service and stores uploaded files.
- Sentry — records technical errors so we can fix them.
How long we keep it
One month after your case closes, we automatically remove the sensitive personal information: your name, contact details, passport number, date of birth, address and emergency contact are erased, and the documents you uploaded are deleted.
What remains after that is the record that the work happened — the case number, its status and dates, and counts of things like appointments booked or forms completed. That record no longer identifies you, and we keep it to know what our business has done.
An enquiry that never becomes a case is deleted after six months. Payment records are kept as financial records.
